The Principle Choice podcast shares practical organization tips for achieving optimal productivity in your workspace and life. Ditch the clutter and chaos!
In today's fast-paced world, feeling overwhelmed is a common experience. From overflowing inboxes to cluttered workspaces, the chaos can significantly impact our productivity and overall well-being.
At Principle Choice Solutions, we’re continually striving to find ways to optimize workspaces for maximum productivity. On a recent episode of The Principle Choice podcast, hosts Erik Gill and Milena Barone, along with special guest Sam Huffman, discussed the topic of organization. Their insights provide a roadmap to conquering chaos and achieving a more structured, fulfilling life, both in the office and outside of it.
Erik Gill, candidly admitting his own struggles with disorganization, opened the discussion by highlighting the frustration of losing essential items and the mental clutter that comes with it.

Gill begins the podcast by confessing, "You know, I don't remember what we're supposed to talk about today. I couldn't find my keys this morning. I haven't checked my email in weeks, and I couldn't find my wallet... I feel like a mess." This all-too-relatable scenario underscores the importance of establishing effective organizational systems.
Sam Huffman, a self-proclaimed organization enthusiast, emphasized the profound impact of order on mental clarity. "If I don't organize my stuff, I'm physically, mentally going to go over the wall. I will go crazy," Huffman explained. This sentiment reflects the widespread need for structure to maintain sanity and focus.
Central to effective organization is managing tasks and time. The podcast explored various strategies for prioritizing tasks and managing schedules. Huffman revealed their personal approach: "When it comes to organizing files and things, I have like folders and things. So I go off of mixture of things - like if I have special projects or things I'm doing, I create a specific folder for that project."
This method of creating dedicated spaces for specific tasks is a practical way to keep things organized and ensure that important items are easily found.
Furthermore, Huffman discussed the importance of setting aside dedicated time for organizational maintenance. "I feel like I mentally have a day that I come in and I fix all my stuff. Typically, like, Fridays… I'm wrapping up for the day. Is there anything I need to organize before I leave?"
This proactive approach prevents clutter from accumulating and ensures a smooth transition into the following week.
The benefits of organization extend far beyond a tidy desk. By creating a structured environment, individuals can significantly enhance their productivity and efficiency. Huffman illustrated this point by describing how organization enables quick retrieval of essential information, revealing a direct correlation between organization and efficient task completion.
Milena Barone also touched on the relationship between organization and mental clarity, "Showing people how organizing their spaces can also help organize their minds in the sense of kind of freeing it up where there's not a lot of clutter and how that can kind of help with de-stressing." A clean and organized space can lead to a less stressed mind and a more productive workflow.
Decluttering: Creating Space for Productivity
Decluttering is a crucial aspect of organization, both in physical and digital spaces. Huffman advised starting with the most frequently used areas. "Start off with your most-used space... Get everything that doesn't need to be there... Organize it to fit in a flow that works for you." This approach allows individuals to experience the immediate benefits of decluttering, which can motivate them to tackle other areas.
Barone acknowledged the emotional challenges of decluttering, mainly when dealing with sentimental items. "I know that that can also be a hang-up for when people are cleaning out spaces. A lot of sentimental tchotchkes and things like that could be in the house, furniture, things like that."
She emphasized the importance of self-reflection and determining the true value of possessions. She used the example of honestly assessing her grandfather’s chair years after he had passed away: "I also remember, you know, he's not that chair... I have other things that are more important."

A well-organized workspace is essential for maintaining focus and productivity. Huffman stressed the importance of a clear desk. "I feel like the desk is the big thing. If your desk feels cluttered, you're not going to worry much about your internal computer stuff." This highlights the interconnectedness of physical and digital organization.
Huffman also gave advice on how to help others with workspace organization, asking them, "What do you have on your desk? Is your desk pretty clear? Do you have a lot of stuff that clutters it?" Questions like these serve as a helpful and non-judgmental way to help others improve their workspace.
Email Management: Taming the Inbox Beast
In today's digital age, email management is a critical component of organization. Huffman shared their approach to tackling the overwhelming influx of emails with a proactive strategy of creating a logical folder structure.
"I have like folders and things. So I go off of mixture of things. If I have special projects or things I'm doing, I create a specific folder for that project." This method allows for quick retrieval of essential emails and prevents important messages from getting lost in the shuffle.
Emphasizing that there is no perfect way to organize, and everyone needs to find what works best for them, Barone added, "You can have 1500 folders if you want them organized. That way, you can have 14 different folders in your email. It's okay."
